Before anything else, we sit down to understand your event including your audience, your goals, and what success looks like.
Destination & City Selection
If you’re still deciding on a city, we present multiple destinations. We compare transportation infrastructure, attendee experience, seasonality, and the cost of doing business in each market.
Development & Proposal Management
We draft the RFP with you, distribute it to the right contacts, and run every follow-up conversation with the venues. From there, we present the top three to five venues in a clean side-by-side. This is an exciting meeting where we take the first steps together.
Site Visits
We travel to see the top options in person and walk the space with the venue team. This helps us all get the full picture, and understand clearly the best fit for your needs.
Contract Negotiation & Risk Management
We know where to focus when it comes to negotiating pricing and terms for each program. We advocate on your behalf to ensure you are getting the strongest contract possible for your event.
Venue Sourcing Pricing
We are compensated directly by the hotel you choose to book at the end of our process, allowing us to offer this service at no cost to you. (For events with under 75 rooms, there is a flat fee of $3,500.)

Venue Sourcing FAQ
What is venue sourcing, and what does it include?
Venue sourcing is the end-to-end process of finding, evaluating, and contracting the right space for an event. At Meeting Tomorrow it includes discovery and goal-setting, destination and city selection, RFP development, proposal analysis, site visits, and contract negotiation with risk management.
Is your venue sourcing really free?
Yes, for the majority of events. Most venue sourcing in our industry is commission-funded: hotels pay us a percentage when your room nights book, which is why we can offer the service complimentary for events with a block of 75 or more rooms. There’s no hidden fees passed back to you. For smaller events that don’t generate enough commission to cover the work, we offer a transparent flat-fee package instead.
How long does the venue sourcing process take?
Most regional and national projects run 4 to 8 weeks from discovery to signed contract. Complex multi-city or international programs can take longer. We’ll give you a realistic timeline in the first conversation based on event size, destination flexibility, and how many cities you’re comparing.
Do you handle multi-city programs?
Yes, multi-city and roadshow programs are some of our most common work. The same team manages every market with the same RFP process, same comparison structure, and same negotiation standard.
Do you handle international venue sourcing?
Yes. We source venues for international summits and multi-country programs, including the additional legal, currency, and risk management considerations that come with them.
Do I have to use Meeting Tomorrow for AV or event production if you source the venue?
No. Venue sourcing is a standalone service. Many clients eventually engage us for event planning or production once they see the team in action, but it isn’t required. We source the right venue whether or not you use us for anything else.
Why does it matter that Meeting Tomorrow also produces events?
It’s not the headline reason to hire us for venue sourcing, but it does show up in contract negotiation. We read venue contracts the way someone who has to operate inside them would. For example, we examine AV exclusivity, rigging restrictions, and power costs that other sourcers may not have the experience to see.
