We work in all venues, all sizes, all types, both union and non-union.

Here are just a few Indianapolis venue highlights:

JW Marriott Indianapolis: 1,005-room convention hotel with 104,000 sq ft of meeting space and a 40,500 sq ft Grand Ballroom, connected to the convention center by skywalk.

The Westin Indianapolis: Downtown hotel with 42,500 sq ft of meeting space adjoining the Indiana Convention Center.

Lucas Oil Stadium: Retractable-roof stadium adjacent to the convention center, used for large general sessions and major events, adding about 183,000 sq ft of convention-usable space.

Indianapolis is an active event-production market — recurring shows here include Gen Con, Indianapolis 500, and FDIC International (Fire Department Instructors Conference).

Key Calendar Notes: Event peaks span spring through summer: FDIC International (April), the Indianapolis 500 over Memorial Day weekend (late May), and Gen Con in late July/early August. Cold, snowy winters (January highs near 36F, averaging about 23 inches of snow annually, snow December through March) favor the climate-controlled skywalk-connected hotels; warm humid summers.

Indianapolis’s corporate event calendar is driven by life sciences and pharmaceuticals, advanced manufacturing and automotive, and logistics and distribution. Indiana Convention Center anchors the metro’s large conventions and trade shows, alongside the hotels and venues listed above.

Indianapolis Event Production FAQ

How do I submit an RFP?

Simply email your RFP to [email protected] and we’ll follow up with everything you need.

What does full event production in Indianapolis include?

We handle every element of your event: AV, staging, lighting, creative direction, run-of-show, technical direction. We’re the production team accountable for the outcome, not just the equipment.

How far in advance should I book?

We recommend at least 60–90 days for most corporate events. For conferences with over 500 attendees or multi-city programs, we recommend 3–6 months.

Do you work in venues that have in-house AV?

Yes, we work in any venue and can meet the requirements of the property and local union.

Can you manage events in different cities?

Yes. Multi-city work is something we do a lot. One consistent team can produce your events in every city and every venue nationwide.

What makes Meeting Tomorrow different from a local AV company?

Our dedicated account team model. The same people work your events, year after year, and they know your standards before they walk in the room.

Do you offer creative and planning services alongside production?

Yes. When you need strategy, creative direction, event design, or full event planning support, we offer end-to-end event production services to help with every stage of the process.

We’re driven by a culture of respect,
kindness, and unwavering commitment
– creating events and relationships that
truly matter.
