First, we’ll learn all about your event. We would love to know the overarching purpose of the meeting and how webcasting fits into that to provide a solution that accomplishes your goals. A big part of that is what level of interactivity is needed for all attendees who aren’t at the live site – we can leverage features like polling, Q&A and multiple presentation locations to make it feel like everyone is in the same room.
There are so many different virtual event software options with varying levels of capabilities and costs. We will help you choose the right live streaming solution for your event by walking you through the options to show you examples of functionality and design. We will make recommendations based on your overall needs and goals.

There are many options for where your webcast will originate from. Typically this is one, or multiple, locations where your presenters will be stationed during the event. We can broadcast from a home or office as well as a rented studio or hotel conference room. For an event with a live audience, we will add the necessary audiovisual, cameras and crew to broadcast from that originating event location.
We make sure your host location is set up for success. Your project manager will oversee a site survey pre-event to test the internet and make sure the room is set up correctly. For events with a live audience, we do full-service AV production — everything from staging, lighting and sound, to camera operation and video encoding.
|Having support for remote viewers is critical for any virtual event. We offer a centralized support line for viewers to call or chat in if they need help logging in or troubleshooting. This takes the burden off of your teams if any support for your attendees is needed.|
Our professional technicians can also support any remote locations that you are broadcasting to by performing site surveys, preparing backup internet options, and staying onsite during the webcast to handle any issues that pop up.
Before the live event, we make sure everything is fully prepped for success – handling any speaker trainings or rehearsals that are needed to make sure everyone is confident leading into the day of the event.
Everything will be setup and tested, contingency plans put in place, and you will have a professional team on-hand to handle all technical elements — camera operators, audio technicians, video engineers, and/or technical directors.
Leading up to and during your broadcast, our remote support line will be open for users to get any help they need in real-time.
After your event, your project manager will lead an event debrief to summarize everything that happened and present opportunities for growth and improvement. They’ll ask for your feedback and suggest new ideas to implement moving forward.
In addition, you’ll get a report with all user information gathered during the broadcast — registration info, polls, quizzes, and more! You’ll get a recording of the webcast in whatever format you choose and further editing support (if needed) with hard drive and archiving options.

When things go wrong during live broadcasts it can be a real disaster for both attendees and presenters. That’s why we always plan ahead for emergencies (internet goes down, presenter missed their flight, etc.) and focus on contingency solutions up front — remote viewer support lines, onsite technicians, pre-recorded audio and video options, 4G internet backups, and more.
A presenter’s effectiveness can make or break the attendee experience, and it really comes down to preparedness. That’s why we work with presenters to train them on how the platform works and what to expect during the live event. We also advise on best practices like what to wear, how to address remote attendees, and managing Q&A.
